Saphion uses a small set of words consistently, in the app and in this manual. Learn them here and the rest of the manual reads easily. Each entry says what the thing is and where to read more, and where a word names something only Admins or seat holders can do, the entry says so.

People and access

Organisation

The company’s own space in Saphion. Everything in it, from people and Projects to files and settings, belongs to that Organisation and is kept apart from every other Organisation. You can belong to more than one and switch between them from the Organisation menu at the top of the sidebar. See Sign in.

Platform seat

Every person who works in an Organisation, whether Admin or Member, uses one Platform seat. It includes everything in the core of Saphion and Beacon. Admins see the Organisation’s seats under Settings > Usage & billing, where Request more seats asks Saphion for more.

Product seat

A specialist product such as CRM is used with a seat of its own, on top of the Platform seat. A product seat has a level: An Admin gives seats from the Product seats cell of a person’s row on the Members page, or when inviting. A product can also be shared with someone at View or Comment level without a seat of their own. See Invite and manage people and CRM overview.

Admin and Member

Every person in an Organisation has one of two Access levels. Access is one of three separate checks. Your Access level, your access to the particular Project or record, and whether you hold a seat in the product each decide part of what you can do. A person who cannot see something may be missing any one of them. See Sharing and access.

Permission

A named set of powers, for example the power to invite people, to view Companies and Contacts, or to see every Project. Every Member holds the default Members Permission. Most Permissions open no Project or record by themselves; only the View, Comment on and Edit every Project powers do. See Teams and Permissions.

Team

A group of people who work together, with the Projects and Actions they own. Teams you belong to appear in the sidebar.

Sharing

Everything new starts private: yours and the people you invite. Nothing is open to the whole Organisation by default, and you share an item by inviting people by name. See Sharing and access.

Work

Project

One body of work: its Actions, files, people, dashboards and Beacon conversations in one place. A new Project is open only to the person who made it and the people they add. See Projects.

Project roles

Sharing a Project gives each person or team one of four roles. The same four words are used when a product is shared. Items shared on their own, such as a board or a file, offer Editor and Viewer.

Action

A piece of work with an owner, a due date and a status. Your own open Actions are in My actions, each Project lists its own, and a record such as a CRM Opportunity can have Actions that follow it up. See Actions.

Board and record

A board is a table of records of one kind: Actions, Projects, Companies, Contacts and Opportunities are all records. Open any record to read and change it in the record panel, which also holds its Attachments, Comments and Activity. See Boards, tables and views and Record panel and attachments.

Field

One column of a board: a piece of information every record can hold, such as a name, a date, a person, an amount of money, a choice or a link to another record. Admins and product Managers add and change fields. See Fields.

View

A saved way of looking at a board: the same records as a table, as lanes by status, on a calendar or as a timeline, narrowed by Filter, ordered by Sort and arranged by Group. Changing a view never changes the records.

Dashboard

A page of widgets, such as figures, charts and lists, read live from your records. Home, Company Overview and each product’s Overview are dashboards, and you can make your own. See Dashboards.

Creations

Everything you made or were given, in one list: Documents, Dashboards, Boards, files and images. Open it from Creations in the sidebar, with tabs for All, Private and Shared with you. See Favourites and Creations.

Contacts and Companies

The business people and companies your Organisation works with. They are not the same as members, who are the people in your Organisation. See Companies and people.

Archive and Bin

Archive hides work everywhere else and keeps it until you restore it, with no time limit. Delete sends most items to the Bin, where they rest for 30 days before being removed; a Project or a chat is deleted permanently. See Bin and restore.

Beacon

Beacon

Your assistant in Saphion. It works within your permissions: it can read and act only where you could yourself, and it asks before using a tool you have set to Needs approval. Chats are private to you. See Chat with Beacon.

Skill

Saved instructions that extend what Beacon can do. Type / in the Beacon box to use one. See Skills.

Instructions and memory

Instructions are standing direction Beacon follows, at three levels: your own, a Project’s and the Organisation’s. Memory holds facts you ask Beacon to remember. See Instructions and Memory and privacy.

Connector

A link from Saphion to a system you already use, such as Microsoft 365. Admins choose which connectors the Organisation offers, and you connect your own account in Settings > Your connections. For each connector you decide when Beacon may use its tools. See Connectors.

FAQ

A member is anyone in your Organisation. Member is also one of the two Access levels, the other being Admin. Seat levels and Project roles are separate again: an Admin can be a Viewer on a Project, and a Member can be a Manager of one.
A Project follows sharing. A product follows seats. They are separate, so being let into one does not open the other.
No. A file is something you uploaded or connected. A Document is something written in Saphion. Both appear in Creations or Files, depending on where they live.
