This page is for Organisation Admins. Members shows who is in your Organisation, the teams they work in, and what each role may do. Open it from the Workspace group of the sidebar, or from Settings > Members & teams.

Access levels

Every person has one of two Access levels. Only an Admin changes someone’s Access, and nobody changes their own. Use the Access control on a person’s row, or filter the list by Access with the buttons above it. Access is only one of three separate checks. Your Organisation membership and role set what you can do. Access to a particular Project or record decides what you can open. Which products your Organisation holds decides which specialist products appear. A person who cannot see something may be missing any one of the three.

Invite people

1

Choose Invite member

The button is at the top of Members, and in the Organisation menu at the top of the sidebar.
2

Enter email addresses

Separate several addresses with commas. Choose their Access and Team, and optionally Permissions if you may assign them. With more than one address you can choose Set choices individually to decide for each person.
3

Send the invites

Choose the Send button, which counts the invites. Each person receives an email. They create their account by accepting it. See Sign in.
To invite someone without sending an email, enter one address and choose Copy invite link. Someone who has been invited but has not yet accepted appears in the list as Invited. From the menu on their row you can Send the invitation again or Cancel invitation. An invitation carries the Access it was sent with. To change it, cancel the invitation and invite again.

Teams

The Teams tab lists the teams in your Organisation. A team groups the people who work together, with the Projects and Actions they own. Choose New team to make one. Teams also appear in the sidebar for the people in them.

Permissions

Beyond Access, a Permission is a named set of powers over a group of people. Open the Permissions tab to see them. When you create a Permission you give it a name and a description, then choose:
  • Powers, such as invite people, deactivate people, see people’s work or availability, manage team members, and view, add or edit Contacts and Companies.
  • Who this Permission covers: Themselves, Their teams, Chosen teams or Everyone. A preview tells you how many people that reaches.
  • Holders: the people or teams who have the Permission. Everyone in a team that holds it has it too.
A Permission gives powers over people. It does not open any Project or record by itself: what someone can do to a Project still follows its sharing. Every Member already holds the Members Permission, which carries the powers Saphion gives all Members by default, such as changing Action due dates and viewing, adding and editing Contacts and Companies. Clear the tick beside a power there to take it away from Members, then give it back to chosen people or teams through another Permission. The Access view on the same tab is a table of what each Access level and Permission allows.

Deactivate a person

Deactivating someone is how you remove their access. Open the person’s menu and choose Deactivate.
  • They can no longer sign in to the Organisation and their seat is freed.
  • They leave every team, and anything of theirs that runs on a schedule is paused.
  • Their connected-system sign-ins are revoked.
  • Their name stays on their work.
Saphion first asks who should receive what they hold, such as Projects they lead. The person you choose is told. An Admin cannot be deactivated. Deactivated people are listed at the bottom of Members. Choose Reactivate to bring one back.
