An Action is one piece of work: who is doing it, when it is due and where it stands. Every Action across your Organisation is a record of the same kind, so an Action you see in a Project, in My actions and on Home is always the same Action, never a copy.

Where to find Actions

  • My actions lists your own open Actions, grouped by when they fall due. See below.
  • A Project’s Actions tab lists the Actions belonging to that Project. See Projects.
  • Actions, in the Workspace group of the sidebar, is the company-wide table. It is offered to Admins and to managers who have people reporting to them.
  • Home shows your open, completed and overdue counts. Choose a figure to open My actions narrowed to exactly what it counts.

Create an Action

Choose New action on Home, My actions, Actions or a Project’s page. Give it a name and, if you like, fill in its Project, Assignee, Due date, Start date, Priority, Estimate and Labels. Actions created from a Project start in that Project. You can also ask Beacon to create one. See Chat with Beacon.

What an Action holds

An Action is blocked when it waits on unfinished work it depends on. Nobody sets Blocked as a status. It appears while the wait lasts and clears itself when the wait ends. Open an Action to see all of this in the record panel, with Mark complete at the top. You can also tick an Action complete from the My actions list on Home.

My actions

My actions is your own Actions, grouped by when they fall due: Overdue, Today, Upcoming, No date and Awaiting review. Within each group the soonest is first. It shows Project, Status, Priority and Due date. Your changes to this view’s grouping, sorting, filters and columns are yours alone.

Views and completed Actions

The Actions page shows its views as tabs along the top: All actions, Board and Calendar, plus any view your Organisation has saved. Choose + to add a view and pick its layout. Completed Actions are hidden in every list, board and calendar so you see the work still to do. So are Actions at a status your Organisation has marked Not required (a status whose category is Cancelled, set in the Status field’s choices). To see both, open Filter and turn on Show completed and not required; the choice is saved with the view. Progress figures, such as a Project’s Action progress, always count completed Actions; Not required Actions are on neither side of them and are never outstanding.

Changing dates

By default every Member can change an Action’s dates. An Admin can take that power away from the Members Permission. Without it, you ask for a new date instead. See Members and roles.

Who can see an Action

An Action that follows another record, such as a Company, is seen only by people who can see that record, plus its Assignee.
