# FAQ

> Answers to the questions people ask most.

## Accounts and access

> **How do I get an account?**
>
> An Admin in your Organisation invites you by email, and you create your account by accepting the invitation. There is no public sign-up page. See [Sign in](https://docs.saphion.co.uk/sign-in.md).

> **I forgot my password.**
>
> On the sign-in screen, choose **Forgot your password? Reset it**. Saphion emails you a code, and you choose a new password. See [Sign in](https://docs.saphion.co.uk/sign-in.md).

> **Why can't I see a place, Project or record?**
>
> Three separate things decide what you can see: your role in the Organisation, your access to the particular Project or record, and which products your Organisation holds. Some places are offered only to certain people. The company-wide **Actions** table is for Admins and managers, and **Company Overview** is for the Admins and the people they invite. If you open a Project you cannot access, Saphion says so and shows you how to ask to be let in. Ask the person who owns it, or an Admin.

> **What does the padlock and “Coming soon” mean?**
>
> The feature is not yet available to your Organisation. It is not a fault, and this documentation does not describe it until it is available.

## Beacon

> **What can Beacon see and do?**
>
> Beacon works inside your permissions. It can read and act only where you could yourself. It can see the page you are on, and the files and connected systems you bring in. It asks before using tools you have set to **Needs approval**, and it cannot use tools set to **Blocked**. See [Chat with Beacon](https://docs.saphion.co.uk/beacon/chat.md) and [Connectors](https://docs.saphion.co.uk/beacon/connectors.md).

> **Who can see my chats?**
>
> Only you, until you share a chat. You can share it into a Project, with chosen people and teams, or by link. A shared link opens only for people who could already open the chat. See [Chat with Beacon](https://docs.saphion.co.uk/beacon/chat.md).

> **How do I stop Beacon searching the web?**
>
> Beacon can search the web whenever it decides it needs to, unless an Organisation Admin turns web search off. Admins do that under **Settings > Connectors**. See [Connectors for your Organisation](https://docs.saphion.co.uk/admin/organisation-connectors.md).

> **What does Beacon remember?**
>
> **Settings > Memory** lists the facts you have asked Beacon to remember. They are private to you and you can forget any of them. A Project also has its own memory, shown on its Beacon page. An Admin can switch off Organisation memory under **Settings > Data & privacy**.

> **How do I see how much I have used?**
>
> Open **Settings > Usage & plan** for your monthly allowance and when it resets. A higher **Effort** setting uses your allowance faster.

> **Can I use Saphion from another AI tool?**
>
> Yes. **Settings > Saphion in other AI tools** shows the server address, the steps for tools such as Claude Code and Codex, and which tools may act.

## Your work

> **Where are my Actions?**
>
> Open **My actions** for your own, grouped by when they are due. Each Project also lists its own Actions. See [Actions](https://docs.saphion.co.uk/work/actions.md).

> **I deleted something. Can I get it back?**
>
> It depends on what it was. Records such as Actions, Contacts and Companies rest in the Bin for 30 days and can be restored. A Project, Board, chat or file is deleted permanently. Archive is the way to keep something out of the way. See [Bin and restore](https://docs.saphion.co.uk/admin/bin-and-restore.md).

> **A connector says Reconnect.**
>
> Your sign-in to that system has lapsed. Open **Settings > Connectors**, choose the connector and choose **Reconnect**. See [Connectors](https://docs.saphion.co.uk/beacon/connectors.md).

> **How do I change the look of the app?**
>
> Choose Light, Dark or System from the account menu at the bottom of the sidebar. **Settings > General** also has accent colour, density and text size.
