# Connectors

> Connect the systems you use so Beacon can read and act in them, and decide when it may.

A connector links Saphion to a system you already use, such as Microsoft 365, so that Beacon can read from it and act in it on your behalf. Each system is one connector, however it is built. Microsoft 365, for example, is one connector that covers its services.

A connector never gives Beacon, or you, access you do not already have in that system.

## Connect a system

Open **Settings > Connectors** (under Customise). Two views are offered:

* **Yours** lists the connectors your Organisation has added, with a status for each.
* **Discover** shows every connector Saphion offers, grouped by category.

**1. Choose a connector**

Select a row or a card to open the connector. It shows what it is, who published it and prompt suggestions you can use to start a chat.

**2. Connect**

Choose **Connect** and sign in to the system with your own account. If your sign-in lapses, the button reads **Reconnect**.

**3. Check your account**

Under **Connected accounts** you will see your account, marked **Your account**. An account an Admin connected for the whole Organisation is marked **Connected for** your Organisation, and only an Admin can disconnect it.

If your Organisation has not made a connector available, you see **Request** instead of **Connect**. Choose it to ask your Admin. You are told when they answer. See [Connectors for your Organisation](https://docs.saphion.co.uk/admin/organisation-connectors.md).

## Use a connector in a chat

Choose **Add** beside the Beacon box, then **Connectors**. Each connector you can use appears once with a switch, and Beacon uses whichever of its services the request needs. A switch is on until you turn it off, and it applies to the chat you are in: switch a connector off and Beacon is not offered its tools for the rest of that chat, while your other chats are unchanged. A connector that needs you to sign in again shows a warning instead of a switch; choose it to open **Settings > Connectors**. **Manage connectors** opens the same page.

The switch **Use in Beacon and Automations** on a connector's page controls whether Beacon is offered its tools in every chat. Turning it off withholds the tools from you; your connection stays.

Web search is not a connector. Beacon can always search the web unless an Admin turns web search off for your Organisation. See [Connectors for your Organisation](https://docs.saphion.co.uk/admin/organisation-connectors.md).

## Decide when Beacon may use a tool

Each connector lists its tools in two groups, **Read-only tools** and **Write & delete tools**. For every tool you choose one of three settings:

| Setting | What happens |
| - | - |
| **Always allow** | Beacon uses the tool without asking. |
| **Needs approval** | Beacon asks before each use. |
| **Blocked** | Beacon cannot use the tool. |

A tool that sends something to other people, such as an email, can never be set to Always allow. A group also has a default that applies to every tool in it.

Under **My settings** you choose within the limits your Organisation allows. An Admin sets that ceiling under **Organisation**, and you can make a tool stricter for yourself but never looser.

## Disconnect

Open the connector, find your account under **Connected accounts**, open its menu and choose **Disconnect**. Anything that used the connection loses access to the system through Saphion. Nothing in the system itself is deleted.
