# Bin and restore

> Archive work you want out of the way, and restore what was deleted within 30 days.

Saphion gives you two ways to take work out of sight, and they behave differently. **Archive** is the way to keep something out of the way without losing it. **Delete** either rests in the Bin for 30 days or removes the item at once, depending on what it is.

Both live on one page. Choose **Archive** in the sidebar, below your Projects and Teams.

## Archive

Archived work is hidden everywhere else and kept until you restore it. There is no clock.

The Archive page has a tab for each kind of work that can be archived and that you can see, with a count. The kinds include Projects, Records (such as Actions, Contacts and Companies), Boards and Fields. Each row shows where the item lived and who archived it. Select one or more and choose **Restore** to return them to where they were.

## What Delete does

How Delete behaves depends on the kind of item. Saphion tells you in the confirmation which it is. You confirm with a button and are not asked to type, except when an Admin deletes from the Bin early.

| You delete | What happens |
| - | - |
| A record, such as an Action, Contact or Company | It moves to the Bin and can be restored for 30 days. |
| A Team | It moves to the Bin and can be restored for 30 days. |
| A field on a board | It moves to the Bin with its values. An Admin, or the person who deleted it, can restore it. |
| A Project, a Board, a chat or a file | It is deleted permanently and cannot be recovered. |

If you might want something back, archive it instead. The confirmation reminds you that Archive keeps it.

Deleting a record also deletes what depends on it. For example, deleting a Company deletes its Contacts. The confirmation counts everything that goes before you agree, and restoring brings it back together.

## The Bin

The **Bin** is the last tab on the Archive page. It shows everything you can see that was deleted into it, across every kind, with:

* **Deleted by** and **Deleted**, so you can tell who removed it and when.
* **Days left** before it is deleted for good.
* **Deleted with it**, a count of the records that went with it.

Select an item and choose **Restore**. Anyone who can change an item can restore it, and restoring brings back what the delete took along. If you cannot change the item, Restore is shown greyed out with the reason.

After 30 days the Bin deletes an item automatically.

## Delete forever

Only an Organisation Admin can delete from the Bin before the 30 days end. From an item's menu choose **Delete forever**, or choose **Empty Bin** to clear everything. These are the only places Saphion asks you to type to confirm, because nothing can be recovered afterwards.

## Beacon and deletion

Beacon can archive records and delete them into the Bin for you, and it asks you to confirm every time (Full access on a Scheduled task does not skip the question). It never permanently deletes or empties the Bin: that is always a person's act in the app.

Forgetting a memory under **Settings > Memory** is immediate and does not go through the Bin.

## People are deactivated, not deleted

Removing a person from an Organisation deactivates them, so their name stays on their work and an Admin can reactivate them. See [Members and roles](https://docs.saphion.co.uk/admin/members-and-roles.md).
